Fax

The Fax screen will allow Access Center Representatives, Administrators, and System Administrators to view all faxes that were sent and all faxes that were received for all cases. To view the Fax screen, navigate to the Fax link in the menu bar (F-1).

Once in the Fax screen, there are two tabs:

  • Fax Sent (F-2.1)

  • Fax Received (F-3.1)

The Fax Sent tab, lists all faxes that have been sent out. The grid shows an overview of information for each fax sent:

  • The fax number it was sent from (Fax Sent From)

  • The fax number it was sent to (Fax Sent To)

  • The status of the fax (Fax Status)

  • Who sent the fax (Fax Sent By)

  • When the fax was sent (Fax Sent On)

The user can view any fax by clicking on the [View] link under the Actions column (F-2.2). This will open up a pop-up window of a PDF of the fax. To refresh the grid for any new faxes that have been sent out, click on the Refresh button (F-2.3).

The Fax Received tab shows all faxes that have been received. The first grid shows all faxes that are not linked to a case, and the second grid shows all faxes that are linked to a case. Both grids give an overview of information for all faxes received:

Faxes Received (Unlinked)

  • Which Partner sent the fax (Fax Sent From - Partner name)

  • The number the fax came from (Fax Sent From - Number)

  • The number the fax was sent to (Fax Sent To)

  • When the fax was sent (Fax Sent On)

  • The priority of the fax (Fax Priority)

Faxes Received (Linked)

  • Which Partner sent the fax (Fax Sent From - Partner name)

  • The number the fax came from (Fax Sent From - Number)

  • The number the fax was sent to (Fax Sent To)

  • When the fax was sent (Fax Sent On)

  • The priority of the fax (Fax Priority)

  • The case or session ID that the fax is linked to (Linked to Session ID)

The user can click on [View] under the Actions column to view the fax that was received (F-3.2, F-3.4). This will open up a pop-up window where you can view the PDF of the fax. To link a fax to case, click on [Link] under the Actions column (F-3.3). This will open up a pop-up window where the user can select a case to link the fax to. The grid shows all cases that have not been completed yet. The user can filter these cases with the filter options at the top of the window (F-4.1). Once the desired case has been found, click on [Select] (F-4.2) to link the fax to this case. If a fax was linked to a case in error, then click [Unlink] under the Actions column (F-4.5).
