Search Clients
To search for clients who are already in the database, navigate to the Clients menu from the navigation bar, and click on Search Clients (Figure SC-1).
The Search Clients page is especially useful for finding clients who are traditionally difficult to contact or identify.

Once in the Search Clients page, search for specific clients using a variety of criteria (Figure SC-2). To find clients, fill out as many fields as necessary or as applicable. As little as just one field can be filled out; the rest can be left blank.
SSN/External IDs – The client’s social security number, or another ID that is external to UCCP can be entered in this text-box.
First Name, Last Name – Enter the client’s first name and last name in these text-boxes.
Alias – Enter an alias, or nickname, that the client may go by.
Physical Description – Check the box next to each applicable descriptor for the client’s physical appearance.
Gender – Check the box for the gender that the client identifies with. If searching for multiple clients, multiple genders can be checked.
Race – Check the box for the applicable gender for the client. If searching for multiple clients, multiple races can be checked.
Contact Number – Enter the client’s phone number in this text-box.
Seen By – Expand the drop-down selection to choose a provider or care coordinator who is part of the client’s Care Team.
Date Last Seen – Expand the drop-down selection to pick a date range that the client was last seen; for example, the client was seen in the past three months.
Location – Expand the drop-down selection to pick a location that the client was last seen; for example, the client was seen in the clinic.
After all necessary or applicable criteria has been entered, click on the Search button (Figure SC-2.1). To clear the search criteria entered, click on the Clear button (Figure SC-2.2). To cancel the search, click on the Close Search button (Figure SC-2.3). If the Close Search button was clicked in error, click on the Advanced Search button (Figure SC-3.3).
The search criteria in the Search Clients page can be viewed at any time in the View Clients page by clicking on the Advanced Search button (Figure SC-3.3).

Filtering the Search Results
If multiple clients come up in the search results, the clients can be further filtered down:
Client Status – Select to only view clients who are Active or Closed in the program. All clients (both active and closed, or inactive, in the program) can also be selected (Figure SC-3.1)
View Clients For – Expand the drop-down selection to choose a provider or care coordinator to view all clients whose Care Team they are a member of (Figure SC-3.2)
Column Filtering – Each column has a text box underneath where text or numbers can be entered to further filter the list (Figure SC-3.5). Once the desired text or number has been entered, click on the funnel icon button (Figure SC-3.5) to select how you want to filter with the entered text or number; for example, filter all clients that contains the entered text or number. Date columns can also be filtered in a similar way. Enter the desired date in the text-box, or pick the date by clicking on the calendar icon button (Figure SC-3.6), then clicking on the funnel icon button to choose how to filter with the entered or selected date (Figure SC-3.5).
Search Results with Multiple Pages – To toggle between the pages of search results, use the buttons at the bottom of the page (SC-4). Use the interior directional buttons to move 1 page forwards/ backwards (SC-4.1). Use the exterior directional buttons to go to the first page (left-pointing) or last page (right-pointing) of results (SC-4.2). Use the text-box to input the desired results page and press Go to land on that page (SC-4.3). Alternatively, click on the numbered buttons to select the desired page (SC-4.5). Indicate the number of results per page by inputting the desired number of results in the text-box next to “Page Size” and click Change (SC-4.4).
Once the desired client has been found, click on the Open Record link under the Actions column to view their profile or record (Figure SC-3.4). Read more about the client’s profile or record in Client Record.
