Notification Settings

Any logged-in user can adjust their notification settings by navigating to the My Settings menu from the navigation bar, and then clicking on Notification Settings (Figure NS-1). If the logged-in user is currently in a client record or profile, navigate to the Actions menu from the navigation bar, and then click on Back to My Dashboard (NS-2). From here, the My Settings menu on the navigation bar will be visible.

The Notification Settings page is divided into three sections (depending on the logged-in user’s role):

By default, all settings are what has been set as the system default. These settings can be overridden by the current logged-in user in this page.


Client Related Notifications for Providers (Using System Default Settings)

All notification settings related to a client’s record or profile can be set in this section. All client-related notifications are clients whose Care Team the current logged-in user has been assigned to.

Reminders for upcoming events (Multiple reminders configurable)

The current logged-in user can set up reminders for any upcoming events for a client:

  • What kind of client related events would you like to be reminded about? – Expand the drop-down selection to check all desired events, or mark Check All to receive notifications for all events.

  • Scope of events?Mark whether the notifications should be Just events I am responsible for, or Any that I am on the care team for.

  • How long before the upcoming event would you like to be reminded? – Expand the drop-down selection to pick the time range; for example, Hour(s). Then, enter the number of minute(s)/hour(s)/day(s) before an upcoming event that the reminder will be sent.

  • How would you like to receive your reminders? – Expand the drop-down selection and choose whether to receive the reminder via email, SMS/text message, voice/phone calls.

Once all preferences have been entered for this type of reminder, click on Add to the list (NS-3.1). Multiple reminders for upcoming events can be added. If a reminder needs to be removed from the list, select the reminder (the selection will be highlighted in blue), and click on the x icon button (NS-3.2).

Reminders for missed events (Multiple reminders configurable)

The current logged-in user can set up reminders for any missed events for a client:

  • What kind of client related events would you like to be reminded about? – Expand the drop-down selection to check all desired events, or mark Check All to receive notifications for all events.

  • Scope of events?Mark whether the notifications should be Just events I am responsible for, or Any that I am on the care team for.

  • How long before the event has passed would you like to be reminded? – Expand the drop-down selection to pick the time range; for example, Hour(s). Then, enter the number of minute(s)/hour(s)/day(s) in the text-box after an event has passed that the reminder will be sent.

  • How would you like to receive your reminders? – Expand the drop-down selection and choose whether to receive the reminder via email, SMS/text message, voice/phone calls.

Once all preferences have been entered for this type of reminder, click on Add to the list (NS-4.1). Multiple reminders for missed events can be added. If a reminder needs to be removed from the list, select the reminder (the selection will be highlighted in blue), and click on the x icon button (NS-4.2).

Reminders when changes are made to a client’s record

The current logged-in user can opt in to get reminders via email when items in the client’s record has been created or changed (NS-5):

  • Calendar events – To get a notification if a calendar event has been created, check the box for Created. To get a notification if a calendar event has been changed, check the box for Changed.

  • Care Plan items – To get a notification if a Care Plan has been created, check the box for Created. To get a notification if a calendar event has been changed, check the box for Changed.

  • Visit related information – To get a notification if visit-related information has been created, check the box for Created. To get a notification if visit-related information has been changed, check the box for Changed.

Summary Notifications

The current logged-in user can opt in to be notified of a summary of changes to a client’s record. Mark whether to receive them Daily, Weekly, or Monthly.

Once all desired settings have been updated, be sure to click on Save Settings (NS-6.1). To reset the settings to the default settings, click on Reset to Default (NS-6.2).

eReferral Related Notifications (Using System Default Settings)

All notification settings related to a client’s eReferrals can be set in this section.

Scheduled for sent eReferrals (Multiple reminders configurable)

The current logged-in user can opt in to get reminders related to any sent eReferral:

  • What kind of eReferral events would you like to be reminded about? – Expand the drop-down selection, and check the box for each desired eReferral status to get reminders/notifications on, or check the box for Check All to receive reminders/notifications for all eReferral statuses.

  • How often would you like to be reminded? – Select One Time to only get a reminder once for the selected status(es) above. Select Recurring to get multiple reminders. Expand the drop-down selection to pick the time range for the recurring reminders; for example, Hour(s). Then, enter the number of minute(s)/hour(s)/day(s) in the text-box that the reminder will be sent.

  • How would you like to receive your reminders? – Expand the drop-down selection and choose whether to receive the reminder via email, SMS/text message, voice/phone calls.

Once all preferences have been entered for this type of reminder, click on Add to the list (NS-7.1). Multiple reminders for missed events can be added. If a reminder needs to be removed from the list, select the reminder (the selection will be highlighted in blue), and click on the x icon button (NS-7.2).

Event driven (real time) notifications for sent eReferrals by me

The current logged-in user can opt in to get notifications for when an event occurs for any eReferrals sent by the current logged-in user.

  • A status change occurs for an eReferral record – Check the box for each status change to get notifications for.

  • To receive notifications for the list below, select Yes; otherwise, select No to opt out of notifications (Figure NS-8):

    • Receiver views/opens an eReferral

    • A comment is posted

    • A comment is edited

    • The receiver adds a primary contact

    • A requested resource is coordinated

Event driven (real time) notifications for received eReferrals

The current logged-in user can opt in to get notifications for when an event occurs for any eReferrals that have been received by the current logged-in user.

  • To receive notifications for the list below, select Yes. Select No to opt out of notifications (NS-9):

    • A new eReferral is submitted

    • Comment posted by the sender

    • Comment was edited by the sender

    • Resource was coordinated by the sender

  • An eReferral’s status changed by the sender – Check the box for each status change to get notifications for.

Summary Notifications

The current logged-in user can opt in to be notified of a summary of changes for sent eReferrals. Mark whether to receive them Daily, Weekly, or Monthly (NS-10).

Settings for Pre-Enrollment Events [Team Based] (Using System Default Settings)

The current logged-in user get notifications/reminders for events in Pre-Enrollment that are based on the Pre-Enrollment Submission or Pre-Enrollment Selection Teams.

If the user does not have a role that does not have access to Pre-Enrollment, and they are not part of the Pre-Enrollment Submission or Selection Team, then they will not see these settings.

Reminders

The current logged-in user can opt in to get reminders of the following events by selecting Yes. Selecting No will opt out of the reminders (NS-11):

  • A Draft is created

  • A New Pre-Enrollment is submitted

  • An update is made to a pre-enrollment record

  • A comment is made on a pre-enrollment record

  • A client is enrolled

For A status change occurs for a pre-enrollment record, check the box for each status to get reminders/notifications for.

Summary Notifications

Depending on whether the current logged-in user is on the Pre-Enrollment Submission Team or the Pre-Enrollment Selection Team, they can opt in to receive a summary via email. Mark whether to receive them Daily, Weekly, or Monthly (NS-12).
